The company is seeking an Executive Assistant to the CEO for developing, monitoring, and controlling project schedules and progress across all stages of the real estate development lifecycle. The role involves coordinating with internal teams, consultants, and contractors to ensure timely project delivery within approved timelines, budgets, and quality parameters. To support the CEO in day-to-day business operations / decision making through research, data analysis, MIS & other reports hence enabling to take critical & accurate decisions as required by the existing business or new business ventures thus ensuring the associated risk & liabilities are mitigated.

Responsibilities:

  • Project Planning & Scheduling

– Develop detailed project schedules using tools such as MS Project or Primavera.

– Define project milestones, critical paths, and dependencies for various project phases (design, approvals, procurement, construction, and handover).

– Prepare baseline programs and regularly update progress schedules.

  • Monitoring & Progress Tracking

– Track actual progress against planned timelines and highlight delays or deviations.

– Conduct periodic project review meetings to assess performance and suggest corrective measures.

– Maintain project dashboards and progress reports for management review.

  • Coordination & Communication

– Liaise with project managers, architects, consultants, and contractors to ensure alignment on project timelines.

– Coordinate with procurement and execution teams to ensure availability of resources as per schedule.

– Provide timely updates to management on project status, risks, and mitigation plans

– Coordinate with Business Heads of Realty division on behalf of the CEO of Company to obtain data with regards to business operations, functioning, profitability, revenue & cash flow etc.

  • Cost & Resource Planning

– Work with the quantity surveying and finance teams to align project costs with schedules.

– Monitor manpower and resource deployment in coordination with site teams.

– Support the preparation of cash flow projections linked to project milestones.

  • Risk Management & Process Improvement

– Identify potential risks to project delivery timelines and recommend mitigation strategies.

– Analyse project delays and develop recovery plans.

– Support continuous improvement in project planning and reporting processes.

Requirements 

  • Minimum of 8–10 years of relevant experience in project planning within the real estate or construction industry
  • Experience in large-scale residential, commercial, or mixed-use developments preferred.

Key Competencies 

  • Proficiency in Primavera P6, MS Project, and other project management tools.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently and as part of a team.
  • High level of professionalism and confidentiality.
  • Sound knowledge of data analytics and conducting research of financials, market analysis, industrial growth
  • Should have knowledge of Financial / Business reporting system and data interpretation
  • Good knowledge of real estate sector and their uniqueness / growth prospects
